“Government organisations need more effective strategies to manage their information and create better knowledge sharing and collaboration within their organisation,“ said Paul Han, Head of Fuji Xerox Singapore’s Document Solutions Group, at the company‘s recently held Public Sector Information Management Conference. “They are facing information overload, and they need to manage different document formats such as emails and videos.”
The well-attended event drew more than 200 IT and business professional from 70 organisations.
According to Han, he has observed a recent trend of government outsourcing non core-business processes so that they can focus on their core competencies to deliver better services to citizens.
He stressed that establishing a sound strategy has to begin with information audit to have a clear view what information the organisation actually has. Policies and guidelines need to be established for access, storage and security of documents, and the information on them.
A guest speaker from Civil Aviation Authority of Singapore, along with Fuji Xerox’s partners from EMC, Autonomy, IBM, Symantec, CA, Top Image Systems and Third Sight participated in the conference, helping attendees relate People, Process, Technology perspectives to their Information Management Strategy.
Juntetsu Nobui, APJ General Manager, Services Offering Business Promotion of Fuji Xerox Global Services, said that 37 per cent of a typical knowledge worker’s time is spent working with documents nowadays, demonstrating the importance of documents to business processes. He said that in order to help organisations reduce costs, improve quality and address compliance in this process, Fuji Xerox offer one stop service to handle multiple document formats and manage the entire lifecycle. The company also has document advisors who help clients revamp and better manage their documents.
Nobui also said all these can be achieved thanks to the skilled professionals of Fuji Xerox Global Services, its benchmarking processes as well as state-of-art technologies and solutions.
Serge Beraud, Fuji Xerox Global Services’ Regional Director for Business Process Services, asserted that important documents are driving processes. He advocated a digital mailroom for organisations to centrally capture, manage and deliver critical business documents, including correspondence, accounting documents, HR documents and various forms. The advantages of this include a strong productivity improvement because of the enhanced visibility of the mail flow. In the meantime, workload is optimised and customer relationship is improved due to better request management.
